Claude and ChatGPT can help small teams keep help center and knowledge base articles updated through a structured workflow. For teams with under a hundred articles and a manageable release cadence, this works. The limitations show up at scale: AI cannot process screenshots or video, loses context between sessions, and cannot coordinate updates across hundreds of articles after a product release.

Most support and knowledge teams have already figured out how to use AI for writing. You paste a PRD into Claude or ChatGPT, get a first draft back in seconds, clean it up, and publish it. That part works and has worked for a while.

The harder question is what happens after that article is published. Your product keeps shipping. Features get renamed, UI moves around, pricing changes. The article you wrote three months ago is now telling your customers something that is no longer true.

This is a guide for support teams, knowledge managers, and product marketers who want to use AI to keep their help center updated, not just to write new articles. We will walk through a workflow that works, then be honest about where it breaks down.

How to use ChatGPT or Claude to keep your help center updated

This is close to what several teams we have spoken to are already doing, and it produces results you can see in the first week.

Step 1: Build a custom GPT or Claude Project with your style guide.

Upload your existing style guide, a few examples of well-written articles, and a description of your product. Include your terminology list: which words are always capitalized, which features have specific names, what tone you write in. This becomes your persistent context so you are not re-explaining your product every time you start a new conversation.

Step 2: Feed it the release notes.

When a new feature ships or an existing feature changes, paste the release notes, the PRD, or even a transcript of the PM walking through the feature. Tell it to write the article in your established style. If the feature has a UI component, take screenshots manually and describe what they show. The AI will draft an article that covers the steps, the use cases, and the structure you need.

Step 3: Review, edit, and publish.

The first draft will get you roughly 70-80% of the way there. You will still need to verify technical accuracy and replace any generic phrasing with examples specific to your product. This is where your product knowledge matters most. A good reviewer can turn this draft around in 15 to 20 minutes.

Step 4: Use AI to find what needs updating.

This is something most people skip. When a feature changes, paste the release notes into your AI session and ask it to list every article that might be affected. Give it your article titles or, if your tool supports it, the full text of your existing articles. It will generate a list of candidates. Then work through each article by pasting the text into the conversation and asking it to identify which sections are outdated based on the release.

Step 5: Generate the updated text.

For each outdated section, ask the AI to rewrite it using the new information. Review the suggestion, make your edits, and publish.

One product marketing team told us they went from spending two and a half hours per article to about thirty minutes using a version of this process. For a team that would otherwise need to hire a dedicated technical writer, that is the difference between keeping up and falling behind.

Why AI cannot update screenshots or video in your help center

AI cannot look at your product. It has no way to verify whether a screenshot in your article still matches what a customer actually sees in the interface today. If a button moved from the left sidebar to the top navigation bar, the AI has no way of knowing unless you tell it. And if you have forty articles with screenshots of that sidebar, you have to remember every one of them yourself.

Screenshots are one of the most time-consuming parts of help center maintenance. Every image needs a person at the keyboard walking through the product and producing the final visual by hand. Many teams annotate those screenshots with red boxes, arrows, and callout text to make instructions clearer, and none of that layout work can be replicated by a general-purpose AI.

One knowledge manager we spoke to described her process: she uses Microsoft Paint to adjust every screenshot by hand. Each image is custom work rather than a raw capture, with manual annotations and layout tweaks before it goes live. When the product changes, every one of those custom-built screenshots has to be rebuilt from scratch.

Video is harder still. Teams that embed tutorial videos or walkthroughs in their articles face the same problem at larger scale. When the UI changes, the video becomes inaccurate, and no AI tool today can re-record a product walkthrough to reflect a new interface. Every updated video has to be re-recorded and re-published manually. If your help center relies on video, your maintenance burden compounds in a way that AI cannot reduce.

Where AI loses context across your knowledge base

General-purpose AI tools like ChatGPT and Claude do not have persistent access to your live help center. Every session starts fresh. You can upload articles into a conversation, but the tool is working from a snapshot, not from a continuously connected source.

This creates several concrete problems. When you ask the AI to write a new article, it does not know what your other articles say. It cannot cross-reference your existing content to hyperlink related features or flag conflicts with something already published. Each article gets written in isolation, disconnected from the rest of your knowledge base.

One product marketing manager described what happens over time: after months of using a custom GPT, she found the context window was too small. The tool would start forgetting instructions she had given it earlier in the conversation. The style it had followed for the first few articles would drift by the tenth. She was spending increasing amounts of time correcting the AI rather than writing.

This is a documented architectural constraint. Research on large language models has identified what is called the "lost-in-the-middle" problem, where models struggle to leverage information buried within lengthy context windows, even when that information is technically available to them. For documentation work, this means the more articles you try to load into a single session, the less reliably the AI uses all of them.

The practical consequence is that your AI does not know the full picture of your help center. It cannot tell you that the new article you are writing about "notification preferences" overlaps with an existing article about "alert settings" that covers the same feature under a different name. It cannot detect that you have described the same pricing plan differently in three separate articles. Those cross-article inconsistencies are exactly the kind of thing that trips up an AI chatbot downstream, when it retrieves conflicting information from two articles and gives the customer a confused answer.

Where AI cannot coordinate updates at scale

Managing a help center is a logistics problem as much as a writing problem, and AI does not do logistics.

Consider what happens when your product ships a release that renames a core feature. This is a change that affects potentially every article in your help center. The person responsible has to figure out where that term appears, and that term tends to show up in places a keyword search cannot easily reach. A keyword search catches the obvious instances, but it misses the places where the old terminology is used indirectly or embedded in an image.

One support lead told us about a pricing change that landed in the same release as a rename of every user role. Doing this manually, across dozens of articles, while also handling her regular support queue, took days.

AI can help with individual find-and-replace style edits. You can paste an article and say "change every instance of Members to Users." But it cannot orchestrate that across your full knowledge base in one pass. You have to move every affected article through the AI one by one, reviewing each output before it goes back into your help center. Multiply that by the number of articles affected, and the time savings per article get absorbed by the overhead of running the process itself.

Then there is the auditing problem. With teams that ship fast, it's common to see help centers accumulating drift over time. Links start to break, and conflicting information starts to add up. Entire features sometimes get deprecated without anyone looking at the documentation. Running a full audit is exactly the type of work where you need a system that can look at everything simultaneously, and an AI conversation that processes articles one at a time cannot do that.

A Gartner survey found that 61% of customer service leaders report backlogs in editing outdated knowledge articles. That backlog exists because the coordination effort grows faster than any individual's bandwidth to address it.

When does the AI documentation workflow stop working?

For a team of two managing fifty articles with a biweekly release cycle, the workflow at the top of this article is viable. The AI writes the first draft, and then a human reviews and publishes. When something changes in the product, the human pastes the release notes and runs through the affected articles one by one. It takes time, but it is manageable.

The breaking point comes from these pressures stacking up.

Your product starts shipping faster. Engineering teams using AI coding tools are releasing features at double or triple the pace they were a year ago. Microsoft and Google have both reported that roughly a quarter of their code is now AI-generated, and that acceleration is flowing downstream to startups and mid-stage companies. More releases means more documentation work, and the person responsible for docs is rarely getting additional headcount to match.

You deploy a chatbot
The moment you add an AI chatbot to your support workflow, the quality bar for documentation jumps. An outdated article that a human customer would skim past becomes a wrong answer that the chatbot delivers with full confidence. A Gartner survey of 321 customer service leaders found that 91% are now under pressure from executive leadership to implement AI. Many of those teams are discovering that their help center is the bottleneck, not the chatbot itself.

Your team stays lean
The same survey found that 58% of service leaders plan to upskill existing agents into knowledge management specialists rather than hiring dedicated roles. Documentation is being added onto existing workloads, not staffed separately. The person maintaining the help center is usually also answering support tickets or doing product marketing on the side.

Each of these pressures is individually manageable. Together, they create a situation where the manual AI workflow cannot keep up. The backlog grows, and articles start to go stale.
