If you own the product docs at a company that ships every week, you are probably in this boat: the docs live in a help desk or a wiki, releases get announced in Slack, and somebody updates the articles when they hear about a change. What breaks is the gap between the release and the article.
This list starts from that gap. We compared eight product documentation tools on where the docs live, what happens to them after a release, who can edit them, and what they host. We compared the eight tools on five things.
Where the docs live. Some tools keep articles in their own database, some inside a help desk, and some version them in Git. This decides who owns the content and whether a code change can be connected to the article it affects.
What happens after a release. Whether the tool finds the pages a release made wrong, or a person has to notice. In a help desk, that person is usually a customer.
Who can edit. Whether a product manager or support lead can change a page and publish it, or every edit goes through an engineer.
Customer-facing hosting. A public site with search, a custom domain and versions, without a second tool to run it.

1. Pageloop
What it is. Pageloop is a self-updating knowledge base. Pageloop hosts your product documentation and keeps it accurate as the product changes: when a release lands, Pageloop works out which pages are affected, drafts the updates, and hands them to your team to approve.

2. Document360
What it is. Document360 is a hosted knowledge base platform for public and private documentation. Articles are written in Document360's own editor and organised into categories and subcategories, with versioning, workflow states and an analytics view. Maintenance runs on a schedule: articles can carry review dates and a Stale state, and an assigned editor is reminded when a page is due. The platform also renders API reference from an OpenAPI file and has an AI writing assistant.
Document360 is a common choice for large public knowledge bases with an editorial team behind them. The pages sit in Document360's own database, so there is no repository, no pull request and no connection between a code change and the article it affects.

Bottom line. Document360 fits a documentation team that wants a hosted knowledge base with review workflow and does not need the docs in Git. Its scheduled-review model records that a page was checked; it cannot tell you a release made it wrong.
3. GitBook
What it is. GitBook is a documentation platform built around Git. Bidirectional Git Sync keeps the docs as Markdown in a repository while non-technical contributors edit in a block-based visual editor, which is the reason it comes up for mixed teams. GitBook hosts internal docs and public docs, renders API reference from OpenAPI, and has AI features on paid plans: an assistant that answers questions from the docs, and an agent that can scan connected sources and propose edits when asked.
GitBook describes the agent as reactive: the agent responds to instructions rather than watching for pages that a release has made stale, and AI features are not on the Basic tier.
Pricing model. Per site, plus per user on the paid plans.
Bottom line. GitBook is a good fit for a team that wants Git under the docs and a visual editor on top, and is happy to ask the agent for help rather than have it flag problems on its own.
4. Mintlify
What it is. Mintlify is a docs-as-code host built for developer documentation. Pages are MDX in a Git repository, API reference is generated from an OpenAPI or AsyncAPI file, and the site ships with search, an AI assistant and agent-readable output such as llms.txt. Its Automations watch the product's code repository: when a pull request merges, Mintlify reads the diff, drafts the documentation change and opens a pull request in the docs repository for a human to review.
The trigger is the code change. Product changes that do not show up in a diff, such as a redesigned screen, a removed setting or a screenshot that no longer matches, are outside what it reads. The audience is engineers and developer relations teams.
Pricing model. A free tier for hobby projects, then a Pro plan with metered AI credits, then Enterprise on request.
Bottom line. Mintlify is the pick for an engineering team documenting an API or SDK that wants docs to move in the same pull request workflow as code. For help articles, UI walkthroughs and screenshots it has less to offer.
5. ReadMe
What it is. ReadMe is a developer hub for API documentation. Its centre is an interactive API reference generated from an OpenAPI spec, where readers make live calls from the page, plus guides, changelogs and usage analytics that show which endpoints developers use. Docs can be edited in the browser or synced from a repository.
Pricing model. A free tier, then Startup, Business and Enterprise plans.
Bottom line. ReadMe fits an API-first company whose customers are developers. A SaaS product with a help center audience will find most of its strengths unused.
6. Confluence
What it is. Confluence is Atlassian's wiki. Pages are written in a WYSIWYG editor with templates and macros, organised in spaces with permissions and version history, and linked to Jira issues. Confluence Automation handles time-based rules, such as archiving pages nobody has touched in a set period or reminding an owner when a page is due for review, and Atlassian Rovo adds an AI layer for drafting and summarising.
Confluence is an internal tool first. Publishing a customer-facing help center from it takes additional configuration or an add-on, and its maintenance triggers are calendars and inactivity, not product releases.
Pricing model. Free for up to ten users, then per user per month.
Bottom line. Confluence makes sense for a team already running Jira that wants internal product documentation next to the tickets. Confluence is not built to host a public knowledge base that has to track a weekly release cadence.
7. Notion
What it is. Notion is an all-in-one workspace used as an internal wiki. Documentation lives as pages and databases next to project boards, and governance is handled with verified properties: an owner marks a page verified, sets an optional expiry date, and gets a reminder when it approaches. Notion AI drafts and updates pages when asked.
The verification model depends on the person who set it up. A page can carry a valid expiry date set before the last several releases shipped, because nothing connects a release to the page.
Pricing model. Per user per month, with a free tier for individuals.
Bottom line. Notion suits a smaller team that already lives in it and wants a structured review process for internal docs. Notion is a starting point rather than a host for customer-facing product documentation.
8. Zendesk Guide
What it is. Zendesk Guide is the help center inside the Zendesk suite. Support teams write articles in a hosted editor, publish them to a branded help center with search, and surface them to agents and customers from the ticketing flow.
The docs live in the help desk. There is one version of each article, no repository, and no signal from the product's code to the articles it affects; an outdated article stays published until an agent or a customer notices.
Pricing model. Bundled with the Zendesk suite plans rather than sold on its own.
Bottom line. Zendesk Guide is the pragmatic choice for a support team already on Zendesk that wants articles close to the queue. Teams whose docs have to keep up with releases keep Guide for the queue and connect it to Pageloop, which pushes reviewed articles back into Guide.
